
What We Do
The managing agent is the acting agent who conducts the day-to-day operations on the behalf of the board of directors and the association.
Financial
Send statement of assessments to each homeowner, collect the dues, and deposit the funds.
Issue late notices, pre-lien notices, and file liens for past due assessments.
Maintain a current homeowner roll and process all escrow demands.
Receive vendor invoices, verify, code accordingly per the approved budget and generate checks for payment.
Collect W-9 information for all vendors and generate 1099’s at the calendar year end.
Maintain an updated list of all vendor liability, workers comp insurance, state licensing, and ensure the association is listed as additionally insured.
Reconcile monthly bank statements and provide the board with detailed monthly financials.
Prepare a yearly pro-forma budget to include long term reserve planning.
Coordinate the year-end tax filing and annual audit or review by a third party CPA.
Prepare and distribute all financial information within the mandated time frames established by California Civil Code “Davis-Stirling Act”.
Maintenance
Maintain approved vendor database.
Provide a physical monthly property inspection, note items in need of maintenance, and generate work orders for minor repairs.
Respond and document all homeowner requests for maintenance and coordinate timely repairs.
Solicit comparative bids for large repairs for presentation to the board of directors for approval.
Enforcement of Restrictions
Conduct monthly property inspections for compliance of association documents not limited to the approved Rules & Regulations.
Issue violations, monitor compliance, schedule hearings, and issue fines.
Manager
Serve as the focal contact for vendors, homeowners, and board members.
Attend monthly board meetings to include the preparation and submittal of monthly board packages. (annual meetings included)
Implement and complete board directives.
